Administrative Assistant I

Student Services is recruiting for one full time Administrative Assistant I to provide support for Advising, Counseling, & Support Services. Under the primary guidance and supervision of the Director of Advising, this position provides administrative and operational support through a shared model concept for multiple directors within the Division of Student Services. This position serves as a primary point of contact for students, staff, and visitors by managing communications, coordinating departmental activities, overseeing student workers, and supporting daily office operations. The role requires strong organizational, customer service, and multitasking skills to effectively prioritize responsibilities across multiple student services departments while ensuring efficient and professional service delivery.

Duties & Responsibilities
  1. Respond to departmental phone calls and email inquiries in a professional and timely manner.
  2. Assist with the hiring, training, and supervision of student workers assigned to multiple core Student Service units (to be determined by primary supervisory)
  3. Serve as a primary point of contact for students, staff, and visitors by addressing general questions and directing inquiries appropriately.
  4. Monitor and manage departmental email accounts, ensuring timely responses and proper routing of communications.
  5. Review, prioritize, and distribute incoming departmental correspondence to appropriate staff members.
  6. Coordinate and schedule individual and group campus tours, including room reservations and logistical arrangements.
  7. Procure office supplies, materials, and promotional items to support departmental initiatives and events.
  8. Schedule, organize, and participate in departmental meetings and related activities.
  9. Other duties as assigned by primary supervisor
Qualifications
  • High school diploma required, Associate degree preferred
  • Two years administrative assistant experience required
  • English proficiency, Spanish preferred
  • Demonstrate excellent written and oral communication skills
  • Friendly and professional attitude and good interpersonal skills
  • Experience in working with diverse populations
  • Clear understanding of the mission of community colleges
  • Strong organizational skills and ability to establish and meet timelines
  • Team player who is dependable, punctual, organized, and detail oriented
  • Ability to work with little supervision and to exercise independent judgment and discretion
  • Ability to work nights and weekends
  • Proficiency with Microsoft Word, Excel, Outlook and PowerPoint
Physical Demands

While performing the duties of this job, the employee is regularly required to use hands and fingers to handle controls, keypads, etc. Will be required to sit and reach with hands and arms as well as, sit, stand and walk. The employee must frequently lift and/or move up to 50 pounds while loading event supplies, booth equipment, office supplies and paper. Specific vision abilities required include close vision, some color vision, and the ability to adjust focus from documents to computer screen. Hearing light to moderate sound is required by this job. The noise level in the work environment is usually moderate.
